# Accounting validation and troubleshooting

> Resolving the common accounting validation errors in Ardoise.

<Note>This page concerns Ardoise School in the OHADA scope, subject to enabled modules and permissions. School, school accounting and payroll are not offered in Austria. Check local requirements; CountryConfig does not certify compliance.</Note>

This page helps you understand and correct the validation messages you may encounter.

## "The balance sheet does not balance"

**Cause:** an entry is not balanced, or a configuration is incomplete.

**What you can do:**

* Check that no mandatory account is disabled (Chart of accounts).
* Check the accounting mappings (Configuration).
* Contact your accountant to identify the entry at fault.

## "Cannot generate the financial statements"

**Cause:** one or more blocking errors were detected (balance sheet not balanced, treasury not reconciled, and so on).

**What you can do:**

* Read the list of errors shown.
* Correct each point, then run the validation again.

## "An account is not configured"

**Cause:** a business mapping (for example "Electronic money") is not associated with any account.

**What you can do:**

* Open **Configuration → Accounting mappings**.
* Associate the missing concept with the appropriate account.

## "The ... module is not enabled for this school"

**Cause:** you are attempting an operation belonging to an accounting module your school has not
enabled - for example recording a fixed asset without the **Fixed assets** module, or running a
depreciation charge without the **Depreciation** module.

**What you can do:**

* Open **Configuration → Accounting modules** and enable the module named in the message.
* Check its dependencies: depreciation assumes fixed assets, and cost centres assume
  management accounting.

<Note>
  The refusal is deliberate: an entry is not deleted, it is reversed. Rather than posting an
  entry belonging to a module the school had deliberately disabled, Ardoise refuses the operation
  and leaves you to decide whether to enable the module.
</Note>

## "A period is closed"

**Cause:** you are trying to post an entry into a **closed** or **locked** period.

**What you can do:**

* Post the entry in the current **open** period.
* If the correction concerns a past period, contact your accountant (reversal).

## "A note requires information"

**Cause:** an applicable note is waiting for data you have not yet entered (headcount, information about an asset, and so on).

**What you can do:**

* Enter the requested information in the relevant module.

## "A fixed asset is not correctly recorded"

**Cause:** an asset has no in-service date, no useful life, or is not being depreciated correctly.

**What you can do:**

* Open **Fixed assets** and complete the asset's fields.

## "A receivable does not appear"

**Cause:** the corresponding invoice does not exist or is not assigned to the right customer.

**What you can do:**

* Check the invoices for the customer concerned.

## "The bank account is not configured"

**Cause:** no account is associated with the "Bank" payment method.

**What you can do:**

* Open **Configuration** and associate the bank account.

## When should you contact your accountant?

* Before any real **year-end closing**;
* before any **tax filing**;
* for any discrepancy you cannot explain;
* to validate the **choice of accounting system** (normal vs minimal).
