Register the institute and its profile

In Ardoise registration, select the country and the offered institute-owner journey. The owner uses the existing Marketplace/Business portal. Complete the name, contact details, address and descriptions allowed for the country in the institute profile, then open the public profile to check what a family sees.
An institute is not an Austrian school ERP tenant. This account does not grant access to school-local Django records, school accounting or payroll. Organisation membership defines permissions; knowing another institute’s identifier grants no access to its data.

Enquiry, contact and family

  1. A family opens the institute’s public profile and submits an enquiry. It reaches that institute’s CRM with its Marketplace acquisition source preserved.
  2. In Contacts, open the record, check contact details, record activities and update its stage. If loading fails, retry before creating another record.
  3. For a new customer acquired through your own outreach, create a contact with the family’s accurate details and appropriate source. Ownership and acquisition fields cannot subsequently be freely edited.
  4. Assign a consenting affiliated tutor. Share the booking link produced by the contact record; the family signs in with the account matching the parent or verified contact email.
  5. The parent follows the existing booking flow. The institute does not impersonate them; the tutor accepts separately.

Invite tutors

In Team, invite an already registered tutor in the same country by email. The invitation remains pending until they explicitly accept in their own workspace. Confirm roster membership before assigning a contact. Removing an affiliation does not transfer the tutor’s account or decisions to the owner.

Follow bookings

Bookings gives the operator authorised visibility of organisation contracts, their acquisition source and associated lessons. Operator access is observational: accepting/declining a contract, confirming/disputing a lesson and cancelling remain actions of the authorised parent or tutor. Business ownership alone does not reveal their private messages. The overview groups families, tutors, leads, conversions, contracts and recorded lessons. A limited-list indication means these counts are not exhaustive analytics.

Acquisition and fees

A new institute-owned customer can receive zero Marketplace commission when the server verifies the lead, organisation, assigned tutor and parent identity. Marketplace-acquired families retain the configured commission; their provenance cannot be rewritten to obtain an exemption. Check the result in the contract preview. This exemption does not make every service, payment or subscription free: see conditions.

Remaining work

General roster imports, group lessons, dated recurring scheduling, attendance/no-show events, waitlists, reminder automation, complete commercial invoicing, payments/compensation, broader employee roles and full utilisation/payment analytics are not complete journeys. Contract and lesson statements are not institute accounting. Owners and tutors can delete their own account; records needed for contracts and financial integrity can remain retained.
